This Privacy Policy explains how GearGo collects, uses, shares and protects personal information when you visit our website, contact us or book a delivery. We process personal information in accordance with the Protection of Personal Information Act, 4 of 2013 (POPIA), and other applicable South African law.
1. Information we collect
Depending on how you use GearGo, we may collect:
- your name, email address, mobile number and billing details;
- collection and delivery addresses, contact persons and instructions;
- booking references, parcel descriptions, dimensions, weight, declared value and preferred dates;
- order, payment status, waybill and tracking information;
- messages, support enquiries, claims information and photographs you provide;
- technical information such as IP address, browser, device, pages visited and cookies.
Please only provide another person’s details when you are authorised to do so and they understand that their information will be used to perform the delivery.
2. Why we use personal information
We use personal information to:
- provide quotes, process bookings and take payment;
- arrange collection, transport, tracking and delivery;
- send booking, payment, waybill, tracking and service communications;
- assist with support, complaints, refunds, insurance and courier claims;
- prevent fraud, keep the website secure and maintain business records;
- comply with legal, accounting, tax and regulatory obligations;
- improve our website and service.
3. Legal grounds
We process information where it is necessary to perform or prepare a booking contract, comply with law, pursue legitimate business interests that do not override your rights, protect a legitimate interest, or where you have consented. You may withdraw consent where processing depends on consent, without affecting earlier lawful processing.
4. Who receives information
We share only the information reasonably necessary with service providers involved in operating GearGo, including courier and logistics partners, payment processors such as PayFast, website hosting and WordPress/WooCommerce providers, email providers, Google address services, insurers, professional advisers and support providers. Information may also be disclosed where required by law, a regulator or a valid legal process.
These providers may process information under their own privacy terms and may operate systems outside South Africa. Where personal information is transferred internationally, we take reasonable steps required by POPIA to ensure an appropriate level of protection.
5. Payments
Card and payment details are submitted to the payment provider used at checkout. GearGo receives transaction and payment-status information but does not intentionally store full payment-card numbers.
6. Cookies and analytics
The website may use essential cookies for the cart, checkout, security and login functions, as well as limited analytics or preference cookies. Browser settings can be used to block or delete cookies, although essential website functions may then stop working correctly.
7. Retention
We keep personal information only for as long as reasonably necessary for the purposes described above, including delivery, claims, accounting, tax, legal and dispute requirements. Information is deleted, anonymised or securely retained when it is no longer required, subject to lawful record-keeping obligations.
8. Security
We use reasonable technical and organisational safeguards designed to protect personal information. No online system is completely secure, but we review access and service arrangements and respond to suspected security incidents as required by law.
9. Your rights
Subject to POPIA and applicable limitations, you may request confirmation that we hold your information, request access or correction, object to certain processing, request deletion where lawful, or submit a complaint. We may need to verify your identity before acting on a request.
10. Children
GearGo is not intended for children to make bookings independently. A parent or legal guardian should make any booking involving a child’s equipment or information.
11. Contact and complaints
For privacy requests or questions, contact bookings@geargo.co.za. You may also lodge a complaint with the Information Regulator of South Africa through inforegulator.org.za.
12. Updates
We may update this policy when our services, providers or legal obligations change. The latest version will be published on this page with its effective date.
